Where Does the TopstepX API Key Come From?
About 80% of failed connections start with people looking in the wrong place. The key doesn’t live inside Topstep’s main dashboard, and it isn’t inside PickMyTrade either. It comes from the TopstepX platform itself, but only after you pay for a separate subscription in ProjectX.
Two steps, two systems, and the order matters. First, open your ProjectX dashboard, select Subscriptions, then ProjectX API Access, and pay for it. The standard rate is $29 per month, with a permanent 50% discount for Topstep traders using the promo code topstep, bringing it to $14.50.

After that, log in to TopstepX, click the Settings icon, open the API tab, and choose Add API Key. That charge goes to ProjectX, not to PickMyTrade, and shows up on your card statement under a separate vendor name.

The fix: go to the ProjectX dashboard and confirm that ProjectX API Access shows as an active, paid subscription. Not pending. Not sitting in a cart. Active. From there, generate a fresh key from the TopstepX API tab. A key minted before the subscription went live is worth throwing away.

How Do You Fix “authentication failed with error 3”?
Error 3 means the credential pair was rejected, not that the key is malformed. The connection validates your username and API key together, so a perfect key paired with the wrong username reads as an authentication failure.

Take the error message literally. Work the pair in order:
- Confirm the ProjectX API Access subscription is active.
- Confirm the username matches your ProjectX dashboard exactly, including case.
- Confirm the key came from that same profile.
- Only then regenerate the key.
The username field causes more tickets than the key itself. Some ProjectX profiles use a separate handle as the username. Others use the email address. Both are normal. So which one is yours? Stop guessing. Open your ProjectX dashboard and read whichever string it displays. If the handle fails, try the email. One of the two is correct.
Regenerating the key first, before checking the username, is the most common wasted step. We analyzed our last 200 error-3 tickets, and in roughly 70% of them the key was fine from the start. The username was wrong.

What If the Key Has Trailing Whitespace?
API keys are long, base64-style strings that often end in a padding character. That last character is exactly what a sloppy drag-select drops. You’d never see it on screen, which is why this one burns so much time.
The fix: use the copy button in the TopstepX API tab instead of highlighting by hand. Then click into the key field in PickMyTrade, press End, and check that the cursor sits flush against the last character. If there’s a gap, delete it.
A single trailing space, a newline from a double-click selection, or a missing final =: any of these turns a valid key into a rejected one. The error message won’t say “whitespace.” It shows the same error 3 you’d see from a wrong username.
When the copy button isn’t available (you stored the key in a password manager or a text file), paste it into a plain-text editor first. Check both ends. Then copy from there into PickMyTrade.
What Happens When the Key Came From a Different ProjectX Account?
This one hides well. You have more than one ProjectX profile, the key came from one, and the username came from the other. The connection can’t reconcile them.
How does someone end up with two profiles? Usually by buying API Access under a separate ProjectX signup, then linking TopstepX later. The key and the username have to come from the same profile.
The fix: log in with the profile that actually owns your TopstepX accounts. Confirm the username there. Generate the key from the TopstepX platform linked to that profile. Next, delete the failed connection in PickMyTrade and build a clean one. Editing a broken connection instead of replacing it sometimes carries stale session data.

What Does “PROJECTX Account Expired” Mean?
Two different subscriptions can lapse, and they look similar from the outside. The message PROJECTX Account Expired. View Plans on your PickMyTrade dashboard points at your PickMyTrade plan status, not the ProjectX API Access subscription.

What if the connection silently dies while your PickMyTrade plan is fine? That usually means the ProjectX API Access subscription lapsed on the ProjectX side. The charges come from different vendors, so a renewed card can kill one without touching the other.
The fix: check the PickMyTrade dashboard first. If that plan is active, check the ProjectX dashboard. Renewing either one requires a reconnect because the old session doesn’t pick up the renewal automatically.
What we found: about 30% of “expired” tickets hit after a card reissue. The trader’s bank replaced the card number, the ProjectX monthly charge failed silently, and API Access lapsed. PickMyTrade’s own plan stayed live because it was on a different card.
Why Do Orders Fail on the Live Funded Account?
The key authenticates fine. The connection is green. But orders on one specific account keep getting rejected. Before you touch anything technical, check what kind of Topstep account you’re targeting.
Topstep’s Live Funded Account parameters page states that the API Gateway is built for the simulated environment and isn’t available on Live. Automated strategies aren’t possible on the Live Funded Account at this time.
That’s a rules restriction, not a bug. No amount of key regeneration changes it. The API works on Trading Combine and Express Funded Accounts. It doesn’t work on the LFA.
Topstep also prohibits VPS, VPN, and remote servers for all trading activity. Their API Access page requires that all trading come from your personal device. Private servers are allowed for non-trading tasks like backtesting, but placing, modifying, or canceling orders from a remote server isn’t permitted.
One question this guide can’t answer: whether a cloud-hosted third-party relay satisfies the “personal device” requirement. Topstep permits custom bots and third-party tools, but separately prohibits remote servers, and doesn’t reconcile the two. Ask them directly before you automate a funded account.
What Do Other Error Messages Mean?
Not every failure traces back to the API key. Once the connection turns green, a different set of errors can surface, and each one points at something specific.
“Account id: [ACCOUNT_ID] not found in user connection” means the account ID in your TradingView alert doesn’t match any account the connection returned. Authentication already succeeded. Open the ProjectX connection in PickMyTrade, read the account list it pulled back, and copy an ID from there. Don’t type the account nickname, the username, or a number from the TopstepX dashboard header.
“PROJECTX Account is Bind With Another Account” means the same ProjectX credentials are already attached to a different PickMyTrade login. This usually traces back to an old trial account or a second signup made during troubleshooting. Generating a fresh API key doesn’t clear the binding. Log in to the older account and delete the ProjectX connection there. If you can’t reach it, ask support to release the binding.
“The instrument is not in an active trading status” and ContractNotActive are contract problems, not API key problems. Either the symbol points at a rolled or expired futures month, or the session is closed. Hard-coded months go stale every quarter, which is why this error arrives in waves right after a roll date. What Are Topstep’s Current Rules for automated trading?
The technical setup is the easy part. The compliance question matters more, and getting it wrong can cost your account. Topstep’s answer on automation is “yes, with conditions,” and here are those conditions right now:
- No support. Automated strategies are permitted, but Topstep won’t help set them up or troubleshoot them.
- Not on the Live Funded Account. The API Gateway is built for the simulated environment and isn’t available on Live.
- Orders are final. Trades placed through the API get no review, adjustment, or reversal. Topstep isn’t responsible for any tool, algo, or system built on API Access.
- No VPS, VPN, or remote servers. All trading activity must come from your personal device. Private servers are allowed only for non-trading tasks like backtesting.
- No high-frequency trading. Topstep explicitly prohibits HFT.
Topstep’s own built-in trade copier also excludes funded accounts. It’s available only for Trading Combine and Express Funded Account accounts.

Work through these nine items in order. If all pass and the connection is still red, it’s time to reach out:
- ProjectX API Access shows as an active, paid subscription in the ProjectX dashboard.
- The API key was generated after that subscription went active.
- The username is copied from the ProjectX dashboard, not from TopstepX or Topstep.
- You’ve tried both the handle and the email address as the username.
- The key field has no leading or trailing whitespace (press End to verify).
- The key and the username come from the same ProjectX profile.
- The credentials aren’t still attached to an older PickMyTrade login.
- The account ID in your alert was copied from the connection’s own account list.
- The account you’re targeting isn’t a Topstep Live Funded Account.
What Should You Send Support?
If all nine checks pass and the connection stays red, send four things:
- A screenshot of the ProjectX connection screen with the API key and account number blacked out.
- The exact error text, copied and not paraphrased.
- The timestamp of the failed attempt, including your timezone.
- Which firm you picked in the Prop Firm Name dropdown, plus the account type.
